How to prepare for renting a premium car in Warsaw — the AurexRent checklist
Documents, the 10,000 PLN deposit, the 200 km/day limit, handover and return — a complete step-by-step guide to a stress-free premium car rental in Warsaw.
Renting a premium car is simpler than it seems — as long as you know what to prepare. Below is the complete AurexRent checklist: from documents through the deposit to returning the car. We walk through the whole process step by step so nothing surprises you when you collect your BMW M8, X7, Mercedes-AMG SL or Panamera.
1) Check that you qualify
Only a person named in the contract may drive the car. There are two requirements: age 21 or over and a valid driving licence held for at least 2 years. A second driver can be added to the contract after presenting their documents — do it before the trip, not on the spot.
For the contract, prepare an ID card or passport, your driving licence and a payment card in the driver's name. For a business rental additionally: a KRS/CEIDG company extract and the details of the person authorised to sign.
2) The refundable deposit — how it works
Every rental includes a refundable deposit of 10,000 PLN. You can pay it by bank transfer or as a card pre-authorization — in that case the funds are only blocked, not charged. After the car is returned without damage, the full deposit comes back, normally within 48 hours.
Tip: if you choose pre-authorization, make sure in advance that your card limit allows blocking the full amount — this is the most common cause of delays at handover.
3) Booking and confirmation
Pick a car in the catalogue, select your dates and send a request — or simply message us on WhatsApp. We confirm bookings within 1 hour. A request is non-binding until we confirm it, so you can calmly compare several cars.
Cancellation is free up to 48 hours before pickup. After that, the fee is 30% of the rental price — so if your plans are fluid, let us know as early as possible; we usually find a solution.
4) Collecting the car
Standard handover takes place at our branch on Nowy Świat. By arrangement we can deliver the car to Warsaw Chopin Airport, your hotel or office in Warsaw and the surrounding area — the delivery fee depends on the address and date.
At handover we inspect the car together and sign a protocol: odometer reading, fuel level, any existing marks — all with photo documentation. Give it 10 minutes; it is your protection at return. Before you set off, we will also walk you through the car: driving modes, assistants, phone charging.
5) Limits, insurance and rules during the rental
Every rental includes 200 km per day — for longer rentals the limit is pooled across the whole period. Extra kilometres are billed per the car's price list, typically 5–6 PLN/km. Planning a longer route? Tell us in advance and we will suggest the best option.
Liability and comprehensive insurance with a deductible is included, as is 24/7 support. The car may be used within Poland; crossing the border requires written consent and extended insurance. Smoking in the car and track driving are prohibited — see the rental terms for details.
6) Returning the car
The return mirrors the pickup: joint inspection, protocol, odometer reading. You return the car with the same fuel level as at handover. By arrangement we can collect the car from the airport, hotel or another address in Warsaw — also outside branch hours.
If everything checks out, the deposit returns to your account within 48 hours. That is the standard outcome for the vast majority of rentals.
